For websites, “index” is both a noun and a verb:

  • The Google index is Google’s searchable collection of processed web documents.
  • To index a page is to add that page to the search engine’s systems after discovery, fetching, rendering where needed, and evaluation.
  • Indexed means the page is eligible to appear in search results; it does not mean it ranks for every keyword, or even for the keyword you want.

Consider a new URL: example.com/guides/winter-tires. Publishing it does not automatically place it in Google Search. Google first needs to find it—through an internal link, an XML sitemap, or another discovery path. It then needs to crawl the URL successfully, understand the content, decide the canonical version, and determine whether the page is useful enough to store and show.

That sequence explains a common reporting mismatch. A page can be “discovered” but not yet crawled, crawled but not indexed, or indexed but receive little organic traffic. These are different stages and require different fixes.

Crawling versus indexing: the difference that changes your next step

Crawling and indexing are often used as if they mean the same thing. They do not.

Crawling is retrieval

A crawler, such as Googlebot, requests a URL and reads what the server returns. Technical barriers can stop this stage: a robots.txt block, server errors, login requirements, slow or unstable responses, or a URL that is not linked or listed anywhere the crawler can find.

Indexing is processing and selection

After a crawler retrieves a page, the search engine processes it. It may see a noindex directive, a canonical tag pointing elsewhere, duplicate or near-duplicate content, thin content, or conflicting internal signals. Any of these can prevent the submitted URL from becoming the indexed version.

A simple example shows why this distinction matters:

  1. You add /summer-sale to sitemap.xml.
  2. A crawler finds and fetches the page.
  3. The page’s canonical tag points to /sale.
  4. The crawler may index /sale as the preferred URL instead of /summer-sale.

The sitemap was not “ignored” in a simple sense; it helped discovery. But it could not override the canonical signal. Before chasing faster submissions, check whether your desired URL returns a successful HTTP status, is crawlable, has a self-consistent canonical, is not marked noindex, and contains distinct value.

How search engines discover URLs

Google’s sitemap guidance is clear: a sitemap helps search engines discover URLs, especially on larger or more complex sites, but inclusion is not a guarantee of crawling or indexing. Strong internal linking remains fundamental because it gives crawlers routes through the site and signals which pages matter.

For most sites, use more than one discovery path:

  • Internal links: Link important category, article, product, and landing pages from relevant pages already on your site.
  • XML sitemaps: List canonical URLs you want search engines to know about, and keep the file current.
  • Search Console submission: Submit the sitemap to Google Search Console and review its reporting for errors and coverage patterns.
  • Change notifications: Use supported notification protocols when a URL is added, updated, or removed.

An XML sitemap should not become a dumping ground for every parameterized URL, redirect, error page, or intentionally excluded archive. For example, if an ecommerce platform generates 30 filter combinations for one category, including all 30 can add noise rather than clarity. Put the canonical category URL in the sitemap and manage the filter URLs according to your indexation strategy.

Website indexing and XML sitemaps in practice

A sitemap is a file—often sitemap.xml—that lists site URLs and can include metadata such as a last-modified date. It is an input to discovery, not a command telling Google to index every entry.

Use a sitemap well by following four rules:

  1. Include only indexable canonical URLs. Do not list redirected URLs, error pages, or pages intentionally marked noindex.
  2. Keep `lastmod` meaningful. Update it when the page changes substantially, not merely because a footer year changed.
  3. Match it to your internal architecture. Pages isolated from navigation can still be found in a sitemap, but internal links improve context and crawl paths.
  4. Monitor what changed. A site with 50 URLs can be checked manually; an agency managing 50 client sitemaps needs a repeatable process.

Suppose a publisher adds 25 articles in a day and updates 10 existing guides. The immediate job is not to promise that all 35 URLs will rank. It is to ensure the pages are valid, canonical, internally connected, present in the sitemap when appropriate, and communicated to search engines through supported mechanisms.

Google Indexing API: what it is—and its important limit

Google’s Indexing API is often described online as a universal “submit URL to Google” tool. That description is too broad. Google’s current documentation limits the API to pages with JobPosting structured data or BroadcastEvent markup embedded in a VideoObject for livestream events.

For those eligible page types, the API lets site owners notify Google when a URL is added, updated, or removed. Google also says the API is particularly suited to sites with many short-lived job postings or livestream event pages, while still recommending a sitemap for overall site coverage.

For ordinary blog posts, product pages, service pages, and editorial content, do not treat the Indexing API as a supported shortcut. Build the basics instead:

  • publish useful, original content;
  • allow crawling and avoid accidental noindex rules;
  • use correct canonicals and redirects;
  • add internal links from relevant, crawlable pages;
  • maintain a clean XML sitemap; and
  • request indexing manually through Google Search Console where that is appropriate for a high-priority URL.

This distinction matters when comparing indexing tools. Any tool that mentions the Google Indexing API should explain the supported content scope rather than implying that normal URLs can be guaranteed into Google’s index. We prefer an official-methods-first approach, including transparent limits on what each search engine accepts.

Where IndexNow fits for changed URLs

IndexNow is a separate protocol from Google’s Indexing API. It lets a site notify participating search engines that a URL was added, updated, or deleted. To use it, the site proves control of the host with a key, typically by placing a key file at the root of the site, then submits individual URLs or batches.

A successful HTTP 200 response from an IndexNow endpoint means the receiving search engine accepted the notification. It does not mean the URL was crawled, indexed, or ranked. The search engine still decides what to fetch and include.

That makes IndexNow most useful as a change signal. For example:

  • A shop changes availability and price details on 80 product pages.
  • Its sitemap updates during deployment.
  • The changed URLs are sent through IndexNow after the site is live.
  • Participating engines can learn about those changes without waiting to rediscover them only through routine crawling.

The protocol is useful for Bing and other participating engines, but it is not a replacement for sitemap hygiene, technical accessibility, or quality. It is also not Google’s general-purpose indexing endpoint. Keeping those two systems separate prevents a lot of avoidable confusion.

How website, financial, statistical, and alphabetical indexes differ

The word “index” makes more sense once you focus on what it is indexing.

A book index is usually alphabetical and tells a reader where a topic appears. If “canonical tags” are listed on pages 44, 71, and 194, the index is a retrieval aid. Wiktionary and dictionary sites catalog word senses in a similar reference-oriented way.

A statistical index expresses relative change. The U.S. Bureau of Labor Statistics defines the Consumer Price Index as a measure of the average change over time in prices paid by urban consumers for a market basket of goods and services. Here, the index is not a list of pages or products; it is a calculated measure.

A stock market index is a basket of securities or instruments meant to represent a market, segment, or strategy.
